Brother Printer Offline in Windows 11? What to Check

A Brother printer may show “Offline” or “Paused” in Windows 11 even though it is powered on. The fix depends on whether the Brother device has an error, whether it can communicate over the network, or whether Windows has selected the wrong printer. Follow the checks below before reinstalling anything. Buttons and status menus differ by Brother model.

Before changing settings: Keep your Wi-Fi password private, save open work and avoid factory resets. For device-specific buttons, menu names or updates, consult the manufacturer's instructions for your exact model.
Two different problems can look like “Brother printer offline”

Connection problem

Printer cannot communicate

The machine may be disconnected from Wi-Fi or Ethernet. Check its network configuration report, current IP address and router connection.

Windows print problem

Connected, but jobs won't print

Windows may target a duplicate printer entry, a stuck print queue, or the wrong selected printer. Start in Printers & scanners.

Do not reinstall drivers or reset the network until you know which issue you have.

1. Check the device display or lights

Confirm the Brother printer is powered on and awake. Check its screen or status indicator for an error, such as a jam, open cover, or depleted consumable. Deal with that error using the model's user guide before treating it as a Windows network issue.

2. Find out whether the connection is USB or wireless

For USB printing, reseat the cable at both ends and try a direct computer port rather than a hub. For Ethernet, inspect the cable between the Brother printer and router or switch. For Wi-Fi, check the printer's current wireless status. These connection types require different troubleshooting.

3. Check the Wi-Fi network and IP details

On supported Brother models, print a Network Configuration Report to view the connection information and IP address. Confirm the printer and Windows PC are on the same trusted network and are not separated by a guest-network setting. A network report with no valid address means you should investigate the wireless link before changing Windows drivers.

4. Try the model's official wireless reconnect option

Some Brother devices provide Recover WLAN or a wireless reconnect function. Its name, location and availability depend on the model and sometimes firmware version; use the steps in the official Brother manual for your exact model. Avoid pressing combinations of buttons copied from instructions for a different model.

5. Inspect the Windows 11 printer selection

In Settings → Bluetooth & devices → Printers & scanners, choose your Brother printer and open the queue. Also confirm that your document or app is set to print to that exact Brother model. Brother's Windows 11 guidance emphasizes verifying the printer selected in the application, especially when there are multiple copies or similarly named entries.

If there are duplicate printer entries, confirm which is actually connected before removing anything. Try a single test page rather than repeatedly submitting the same job.

6. Check the queue and avoid older Windows-only instructions

On Windows 11, open Settings → Bluetooth & devices → Printers & scanners → [your Brother model] → Open print queue. Review any waiting jobs and the printer selected by your application. You can cancel jobs you no longer need through the queue.

Some older troubleshooting articles describe Use Printer Offline or Pause Printing through the classic Devices and Printers interface. Brother notes that those particular legacy-menu steps are for Windows 10 or earlier on its model-specific support pages. Don't be alarmed if they do not appear in Windows 11.

7. Clear a stalled print job safely

Cancel the failed job from the queue and print a small test document. If jobs remain stuck, follow our Windows print-queue walkthrough. Avoid deleting spooler folders or installing third-party tools as your first step.

8. Use Brother's official downloads only if needed

Brother offers model-specific drivers, instructions and—for certain models—a Network Connection Repair Tool. Select your exact model on Brother's official support site and read its instructions. Never install a generic “Brother repair” program from an advertisement or unknown download site.

Frequently asked questions

Why is the Brother printer offline while other devices use Wi-Fi?

The printer may be on a different network, have an invalid connection, or be represented by an old Windows printer entry. Confirm its own network details first.

Should I reinstall the Brother driver straight away?

Usually not. Check the printer's status, network report and Windows queue before considering a reinstall.

Why can't I find “Use Printer Offline” in Windows 11?

Some instructions are written for Windows 10 or earlier and show a different menu. On Windows 11, use the Printers & scanners page and the print queue first, then consult Brother's steps for your particular printer.

Is the Network Connection Repair Tool available for every Brother model?

No. Check the Downloads page for your exact model and operating system; available tools vary.
