Canon Printer Not Responding in Windows 11? 9 Checks to Try
Is your Canon printer not responding in Windows 11 even though it appears under Printers & scanners? A print job may sit in the queue, Windows may report that the printer is offline, or nothing may happen when you choose Print. The problem does not automatically mean your printer is broken.
This guide focuses on printers that Windows already lists but cannot use reliably. If your Canon printer does not appear at all during setup, go instead to our Canon printer not found on Wi-Fi guide. Follow the checks below in order, testing after each change.
Updated 19 October 2026 · Independent educational guidance for Windows 11; Canon PIXMA, MAXIFY and other models may have different controls.
Choose the first check based on your symptom
| What you notice | Start here |
|---|---|
| Printer says Offline or Not responding | Steps 1, 2, 4 and 5 |
| Print job is stuck or says Printing forever | Steps 3 and 6 |
| Wi-Fi printer worked before a router change | Steps 4 and 8 |
| USB printer does not react | Step 5 |
| Problem started after installing drivers | Step 7 |
1. Check the Canon printer itself
Confirm that it is powered on and has finished starting. Check its display or indicator lights for a paper jam, open cover, empty paper tray, or another error. On models with a screen, acknowledge or resolve the displayed error using the instructions for that model. If the printer can print a built-in nozzle-check or status page without a computer, this may help establish that its basic print mechanism works; the exact procedure varies by model.
Do not repeatedly unplug the printer while it is actively updating firmware, cleaning the print head, or processing a job.
2. Choose the correct Canon printer in Windows 11
- Open Settings → Bluetooth & devices → Printers & scanners.
- Check whether your Canon printer appears, and whether duplicate entries have similar names.
- When printing from an app, open its Print dialog and select the intended Canon printer—not “Microsoft Print to PDF,” an old printer entry, or another printer.
- If Windows offers a test-page option in printer properties, try it. Otherwise, print a short one-page document.
If Windows cannot find the Canon printer anywhere in this list, troubleshoot printer detection instead of a nonresponsive print queue.
3. Check for paused or stuck print jobs
- In Printers & scanners, select your Canon printer.
- Choose Open print queue.
- Look for jobs that are paused, failed, or stuck. Cancel only the jobs that you do not need to keep.
- Try a new, small print job.
Canceling a queued print job removes it from the queue but normally does not delete the original document. If the queue will not clear, see our safe print queue troubleshooting steps. Avoid deleting Windows spool folders unless you understand the effect on all queued jobs.
4. If the Canon printer is on Wi-Fi, check the network
For normal router-based printing, your printer and Windows PC usually need to be on networks that allow them to communicate. Compare the printer's displayed Wi-Fi network name (SSID) or network information page with the network your computer is using. Guest Wi-Fi and isolated network connections can prevent communication.
Check whether the printer is using Wireless Direct instead of your home router. Direct mode connects a device to the printer without using the router and is not the same as normal Wi-Fi printing. The model-specific Canon manual explains the available modes. Move the printer nearer the router if wireless signal is weak, but do not disable router security or reset the entire network.
Canon recommends checking that the printer and computer use the same wireless network when investigating offline messages. See Canon's official offline troubleshooting example (for a specific PIXMA model). If your printer vanished from Windows after changing routers, use our separate Canon Wi-Fi detection guide.
5. For USB printers, test the cable and connection
If your Canon printer is connected by USB, check that the cable is firmly seated at both ends and not visibly damaged. If practical, reconnect the printer directly to the PC instead of through a USB hub. Try another known-working USB port or compatible cable. Check Windows Printers & scanners again before reinstalling any software.
If this is a workplace printer, do not unplug shared hardware or change office network wiring without approval.
6. Check whether Windows Print Spooler is running
Windows Print Spooler manages print jobs. Press Windows + R, enter services.msc, and find Print Spooler. If it is stopped, try starting it once. If it is running but the queue remains stuck, you can try one restart of the service and then send a new test job.
Restarting Print Spooler can interrupt other active print jobs. If it repeatedly stops again, do not keep forcing restarts; follow our Print Spooler keeps stopping guide to isolate a driver or print-job issue.
7. Check Canon's official Windows 11 driver or setup software
Use the exact printer model number from its label and find the corresponding instructions through Canon USA Support or Canon's official manuals. Check whether your model supports your Windows 11 version and whether Canon recommends an updated driver, setup package, or network assistant.
A new or incompatible driver can cause printing failures. If your problem began after a driver change, review the model-specific recovery instructions rather than removing every Windows printer driver. For more background, see Printer driver is unavailable in Windows 11.
8. Restart carefully, then re-add the printer only if necessary
After noting any printer error messages, restart Windows. If the printer is idle and not performing maintenance, you can also power it off and back on according to its manual. If the Canon printer remains listed but unreachable after a router replacement, its saved Windows entry may point to old network information.
Only after checking the network and driver, consider removing the affected printer entry and re-adding it using Canon's official setup method. This might require your Wi-Fi network details. Do not factory-reset the printer, erase unrelated printers, or remove shared business setups just to test a fix.
9. Use Windows Get Help and record what fails
Open the Get Help app in Windows 11, search for printer troubleshooting, and follow the guided checks. Microsoft also provides official printer troubleshooting guidance.
If the problem persists, note your Canon model number, whether you use USB or Wi-Fi, the exact Windows error, and whether other apps can print. These details help distinguish a communication issue from an application-specific one.
Frequently asked questions
Why is my Canon printer listed in Windows 11 but not responding?
Windows may remember a printer entry even when its network address, connection, print queue, or driver is no longer working. Check the printer itself, selected Windows entry and connection before reinstalling anything.
What if my Canon printer shows “Offline” even though Wi-Fi is connected?
The Wi-Fi icon alone does not prove the PC can communicate with the printer. Compare router network names, check that guest network isolation is not involved, and verify Windows is sending the job to the right printer. See our Windows 11 printer offline guide.
Why can I print from my phone but not from my Windows laptop?
The phone might use Wireless Direct or a different network, while the PC uses the home router. Windows could also be using an outdated printer entry or driver. Compare both devices' connection methods first.
Should I reset my Canon printer to factory settings?
Not as an early troubleshooting step. A reset can erase network and custom settings. Try the less disruptive steps above, then consult Canon's model-specific instructions if resetting becomes necessary.
How do I know whether the problem is Print Spooler?
Check the Print Spooler service in Windows Services. A stalled queue can occur even while the service is running; a service that repeatedly stops needs different troubleshooting.
